Geneva Global, an international philanthropic advisory firm, is recruiting for an exciting responsible position in program financial management. GG-Uganda has operated the Northern Uganda Education Program (NUEP) since 2016, supporting the government to pursue its education quality and access goals. Based in Gulu, GG-Uganda manages a multi-year education, community empowerment, and education systems strengthening project, working with the Ministry of Education and Sports, district and other relevant authorities, and local implementing partners..

Job Summary: The Finance and Operations Manager will have primary responsibility for overseeing the day-to-day financial management and operations of Geneva Global Uganda’s Gulu ofiice while also monitoring the financial accounting, reporting, and operations of the program’s grantees and collaborating partners. The Finance and Operations Manager will ensure that partners adhere fully and transparently to Geneva Global’s financial standards and other administrative practices, offering mentorship and capacity strengthening as needed. The Finance an Operations Manager will embody those same standards in managing Geneva Global’s own finances and procedures.

Key Duties and Responsibilities: 

  • The Finance and Operations Manager will support or oversee all other financial and administrative aspects of operating NUEP, in consultation with Program Director and GGI Program Manager. Specific responsibilities and tasks include the following, along with others that the GGI Program Manager might assign.

Financial Management

  • Manage the overall financial functions of the Geneva Global Uganda office.
  • Monitor the GGU checking account.
  • Review and approve payment requests by the other GG-Ug team members.
  • Complete monthly financial reports for submission to GG headquarters, including budget-to-actuals analyses.
  • Work with staff members to develop and respect annual and monthly budgets.
  • With the Program Director, calculate the advance request for the following month to submit to the GGI (headquarters) Program Manager, then confirm successful receipt of wire transfer with bank.
  • Support the GG-Ug Program Director and GGI Program Manager to develop the annual program budget.
  • Monitor internal budget and identify any potential over- or under-spending, and report on this to the GG-Ug Program Director and GGI Program Manager.
  • Conduct financial reconciliations including collecting and verifying receipts and processing advance reconciliations
  • Conduct interim and quarterly financial reviews of actual vs budget reports for or partner organizations
  • Work with staff on conducting procurement and identifying preferred vendors, ensuring strict adherence to internal policies and procedures.
  • Coordinate monthly payroll to GG-Ug staff, ensuring full compliance with tax and withholding requirements.
  • Work closely with GGI staff on clarifying reports and coding expenses.
  • Conduct institutional oversight of and provide capacity-strengthening for partner organizations on financial management and best practices.
  • Coordinate external annual audit of GG-Ug and of grantee collaborating partners.
  • Engage with HQ Finance team for monthly reporting, guidance, support and quarterly management review of partner financial reports

Operational Management

  • Ensure adherence to all GG financial and administrative policies and procedures.
  • Facilitate and guide all procurement activities, supported by Driver/Logistics Associate, to ensure the satisfactory operation of the GG-Ug office and implementation of all technical activities.
  • Manage all aspects related to the effective operation of the GG-UG office, including the rented physical space, equipment and furniture, utilities, transportation, consumables, security, communications infrastructure, etc.
  • Support the technical teams in the coordination and planning of travel, meetings and other activities for partners, government officials and international staff Manage all procurements conducted on behalf of collaborating partners to implement NUEP—e.g., books, motorcycles, furniture, etc.
  • Support Program Director in the preparation and submission to GGI of the monthly operations calendar and facilitate and monitor all logistics and other operational aspects to ensure the plans successful implementation.
  • With GGI Program Manager, review and periodically update the NUEP Finance and Administration Manual while supporting the full NUEP team to adhere faithfully to the procedures and other expectations captured therein.
  • Monitor and promote the overall well-being of the full NUEP team, ensuring such aspects as timely payment of salary, provision of health insurance and other benefits, suitable working conditions, and more, consulting with GGI Program Manager as an advocate for these colleagues.

Qualifications, Skills and Experience:

  • The ideal candidate must hold a Bachelor’s degree in Accounting, Finance, Business, or related field.
  • At least 8 years’ experience in accounting and financial management
  • Prior experience with grants management
  • Prior experience working with international funding partners
  • Prior experience in managing program or office operations
  • Strong and positive communication skills, including internally and externally, orally and in writing; and in English and Acholi;
  • Experience and high comfort working with multiple local NGOs/CBOs
  • Effective and kind interaction with grantees, partners, clients, fellow employees, and directors
  • A strong leader who seeks actively to identify and communicate potential problems and to propose and enact solutions
  • High ability to function in a highly collaborative, complex work environment that is constantly and rapidly changing as a result of project development in other sectors.
  • Flexibility to deal rapidly with problems which require a range of skills and priorities.
  • Strong facilitation skills and ability to work as a team player in problem-solving.
  • Patient and a good communicator who can function in an organization working with multi-national staff
  • Willing to travel to sites located in regions of the country that can be difficult to access, especially during the rainy season, and that might require overnight stays.
  • Highly computer-literate, including Word, Excel, Quickbooks, and E-Mail
  • Patient, diplomatic, and professional
  • Eligible for full-time employment in Uganda and willing to live in Gulu
